Privacy Policy
Hot Ticket, the customer management application of Southern Patio Enclosures. Effective September 15, 2026.
Hot Ticket is the internal application Southern Patio Enclosures ("SPE", "we") uses to quote, schedule, and invoice commercial patio enclosure work. It runs at wavytaylors.com and connects to our own QuickBooks Online account through Intuit's platform. This policy explains what information the application handles and how.
Who this covers
Our customers and prospective customers (the businesses we quote and the people who contact us for them), and SPE's own staff and contractors who use the application.
What we collect
- Contact and business details: company name, contact name, email, phone, and job site address, given to us when you request a quote or work with our sales team.
- Project details: measurements, photos of the patio, drawings, product choices, and notes from site visits.
- Quote and payment records: quotes, approvals, deposit invoices, and whether an invoice has been paid.
- Usage records: when a quote link was opened, and standard web server logs.
We do not collect or store card numbers or bank account numbers. Payments on a deposit invoice are made on QuickBooks Payments pages operated by Intuit, under Intuit's own terms and privacy policy.
How we use it
- To prepare, send, and track quotes and proposals.
- To create a deposit invoice in our QuickBooks Online account when a quote is approved, and to show you the pay link for it.
- To schedule design consultations, installation, and service.
- To keep our own books and records.
We do not sell personal information and we do not use it for advertising.
QuickBooks connection
Hot Ticket connects to SPE's QuickBooks Online company using Intuit's authorization system (OAuth 2.0). Through that connection it creates customers and invoices in our QuickBooks account and reads whether those invoices have been paid. The connection is authorized by SPE's QuickBooks administrator and can be revoked at any time from QuickBooks or from within Hot Ticket. The access tokens are stored on our server outside the public web directory and are used for no other purpose. The connection touches only SPE's own accounting data; it does not access any other company's QuickBooks account.
Who we share it with
- Intuit (QuickBooks Online and QuickBooks Payments) to create invoices and collect deposits.
- Our manufacturing partners receive the measurements and product details needed to build your order, never your payment details.
- Service providers that host our server, deliver our email and text messages, and run our internal messaging.
Beyond that, we share information only when the law requires it.
How long we keep it
Quote and project records are kept for the life of the customer relationship and as long as our accounting and warranty obligations require. You can ask us to correct or delete information about you by contacting us below; we will do so unless a legal or accounting record requires that we keep it.
Security
The application is served over HTTPS, is protected by a login, and stores its data outside the public web directory on a server with restricted access. No system is perfectly secure, and we will tell affected customers if we learn of a breach involving their information.
Text messages and email
We send quotes, appointment confirmations, and follow-ups by email and, where you have given us your mobile number, by text message. Reply STOP to any text to end texts from us.
Changes
If this policy changes, the new version will be posted at this address with a new effective date.
